Purpose of the Job
The Administrative Assistant will provide day-to-day administrative support to ensure smooth departmental operations.
Key Performance Areas
Compliance Administration
Maintain updated documentation for departmental business activities.
Ensure compliance with policies and standards.
Adhere to internal control measures and organizational goals.
Office Coordination
Manage correspondence, filing, and telephonic queries.
Maintain strict confidentiality of office matters.
Assist with follow-ups and outstanding matters.
Ensure timely response to requests and maintain organized records.
Oversee stationery supply and validate submitted documents for accuracy.
Prevent duplicate entries and ensure accurate document capturing.
Meeting Support
Arrange and confirm meetings.
Record and distribute minutes as per governance standards.
Maintain follow-up plans for unresolved matters.
Manage team diaries and stakeholder appointments.
Document and Records Management
Administer record-keeping and filing per the RAF filing plan.
Retrieve requested information efficiently.
Maintain confidentiality of documents and ensure secure delivery.
Record data accurately on computer systems.
Qualifications and Experience
Educational Requirement: Matric or Grade 12 Certificate
Experience: Minimum of 1 year in an administrative role or similar environment
