A vacancy exists within the COO Africa at the Corporate Office in Johannesburg for a Human Resource Officer .

THE PURPOSE OF THE ROLE:

The incumbent will essentially be responsible for the full generalist human resources administrative function as well as HR functions for SAR residual matters.

QUALIFICATIONS AND EXPERIENCE:

  • National Diploma in Human Resources (or equivalent)
  • A degree in Human Resources (or postgraduate degree in relevant discipline) would be an added advantage
  • 2- 4 years generalist HR administration experience
  • A minimum of 2-3 years’ working experience with SAP HR
  • Sound knowledge of South African Labour Legislation
  • Good interpersonal skills
  • Strong administration skills
  • Good communication and writing skills
  • Computer literacy especially knowledge of MS Office packages (Word, Excel, PowerPoint and Outlook)
  • Sound SAP Skills
  • Good planning and organising skills
  • Attention to detail

ACCOUNTABILITIES FOR THIS ROLE:

Separations/Exits

  • Manage all aspects of the exit process including arranging paperwork
  • Arrange and conduct exit interviews
  • Ensures that employees are separated on SAP
  • Ensure that company property (if any) is returned
  • Ensure that all access (including computing facilities) is de-activated
  • Assists employees with administration related to separation for operational reasons as
  • Monitor and manage separations of retirements by notifying them one year before their retirement date
  • Ensure that all separations due misconduct is properly investigated

Engagements and on boarding

  • Prepare new employee files (hard copy) and ensure all new documentation is received, accurately completed and saved electronically
  • Engage the new engagement on SAP
  • Arrange SAP (MMS/ESS) access
  • Manage and facilitate the induction of new engagements
  • Arrange access with security
  • Assisting/advising employees about accommodation and travel arrangements when relocating to Johannesburg. This includes ensuring that the moving company is booked and insurance is in place. The role holder is accountable for payment of all invoices regarding the relocation
  • Ensure that all engagements from site are insured with BUIPA

Recruitment & Selection

  • Ensure compliance to the labour budget and/or obtain management approval before recruiting
  • Ensure compliance to the Employment Equity Plan
  • Managing all recruitment processes including development or refining job descriptions
  • Completing staffing request forms
  • Posting internal & external adverts on Success Factors
  • Shortlist candidates and arrange interviews
  • Compile the required documentation for interview panel members
  • Assisting line managers with the interview guides and technical questions
  • Represent HR on the interviewing panel and answer HR related questions if required
  • Arrange psychometric assessments if required
  • Assisting line management in the selection process
  • Ensure that unsuccessful applicants are informed and receive regret letters
  • Prepare offers in line with AGA remuneration policy
  • Conduct pre-employment checks and references

Performance Management

  • Facilitate and communicate the annual performance management process with departmental managers
  • Assist managers with compliance to the performance management process timelines
  • Accountable to assist new employees & existing employees to load critical tasks onto the Global Performance Management System
  • Provide a proactive performance management service

How We Work

  • Assist in the facilitation and roll out of “How We Work” modules to the Africa Region
  • Ensure that there is a continuous link between HWW and the Training and Development, Organisational Development, Talent Reviews and Performance processes

Employee Development

  • Plan, facilitate, conduct and implement the talent management processes
  • Ensure that all training needs discussed in talent review meetings are sent to the Vice President of each department for budget purposes for the next financial year
  • Coordinate the completion and submission of all Study Assistance documentation and to obtain approvals as per policy and forwards relevant information to the payroll area. Communicates outcomes to staff and maintains an accurate filing system
  • Compile and submit Workplace Skills Plan and Annual Training Report

Employee Relations

  • Co-ordinate and facilitate the completion of all required administration for internal disciplinary hearings and external legal matters
  • Fulfil the role of an HR official at the disciplinary hearing
  • Ensure record keeping of all employee relations matters
  • Advise parties involved in the grievance procedure and facilitate the process
  • Advise line and employees on employee relations matters

Compliance and statutory reporting

  • Ensure the confidentiality of all information within the HR department
  • Assist with ensuring compliance and training with respect to the Ethical code, Protection of Personal Data, Bribery and Corruption
  • Assist in ensuring compliance training is adhered to
  • Ensure that HR processes comply with statutory guidelines, relevant legislations and AGA and CARO policies
  • Assist in the timeous preparation and submission (to the relevant HR person) of required weekly, monthly, quarterly and annual statutory reports (i.e. Employment Equity, WSP, ATR, Vacancy Report, HR report, and Safety Report etc.)

Conditions of employment

  • Advises employees and management in terms of conditions of employment related issues and refers them appropriately when required

HR Information Systems Maintenance

  • Develop, update and maintain Organisational structures and employee data on SAP to ensure accurate and up to date information
  • Ensures correct processing of any staff movement or separation, including communication with employees, internal support functions and external service providers

SAR Residual Matters and Legacy Projects

  • Record keeping and administration of all HR data relating to silicosis claims
  • Record keeping and administration of claims related to Masifunde Fund and Vaal Reefs Disaster Trust.
  • Represent AGA in the JB Marks foundation for dependants of deceased mine workers
  • Record keeping and administration of the home ownership scheme
  • Maintenance of labour relations litigation register and liaison with Harmony
  • Compile, assimilate and prepare sensitive and confidential documents to SAR legacy matters
  • Facilitate and manage stakeholder engagement sessions on residual matters

General HR administration

  • Ad hoc administration support to VP Human Resources
  • Ensure all filing is done, all invoices are processed on SAP according to the AGA standard
  • Fosters a team environment and work closely with HR team and the business to support the employee life cycle
  • Submission of all HR documentation to payroll
  • Assist the HR department with projects when required
  • Contribute during internal and external audits

REMUNERATION:

Salary will be in accordance with the AngloGold Ashanti Schedule of Salaries.
