Job Purpose
To manage and control all dispatch operations within the bakery, ensuring customer deliveries, route vehicles, inter-depot transfers, and inter-bakery shipments are loaded accurately, dispatched on time, and supported by complete documentation.
Minimum Requirements
- Grade 12 or equivalent
- Minimum 3 years’ dispatch controlling experience within an FMCG environment
- Computer literacy
- Strong organisational and leadership skills
- Ability to work in a fast-paced operational environment
Key Responsibilities
Dispatch Operations Management
- Plan, coordinate, and control daily dispatch activities.
- Ensure route vehicles are loaded and dispatched according to schedule.
- Manage inter-depot and inter-bakery stock transfers.
- Monitor dispatch performance and service levels.
- Coordinate with Production, Distribution, and Sales teams.
Stock Control and Reconciliation
- Verify stock issued from production.
- Investigate stock shortages, overages, and variances.
- Conduct daily dispatch reconciliations.
- Process returned stock accurately.
- Maintain inventory accuracy.
Fleet and Transport Coordination
- Coordinate truck loading and dispatch schedules.
- Monitor vehicle availability and loading readiness.
- Liaise with transport providers and distribution teams.
- Monitor vehicle turnaround times.
Team Leadership
- Supervise dispatch clerks and loaders.
- Allocate daily duties and responsibilities.
- Monitor attendance and performance.
- Conduct operational briefings and training.
- Ensure adequate staffing levels.
Loading and Dispatch Accuracy
- Verify loading sheets and product quantities.
- Ensure dispatch documentation is complete.
- Minimise loading errors and stock losses.
- Implement controls to prevent unauthorised stock movements.
Health, Safety and Food Safety
- Maintain food safety standards.
- Ensure compliance with Occupational Health and Safety regulations.
- Conduct safety inspections.
- Maintain housekeeping standards within dispatch areas.
Reporting and Administration
- Prepare daily dispatch reports.
- Monitor operational KPIs.
- Maintain dispatch records and documentation.
- Provide operational updates to management.
